Account Manager Project

The Account Management System for InstantPresenter was an ongoing project that allowed individuals to manage their customer account with us and organize their upcoming or past meetings. The Account Manager was a platform to encompass the flash meeting application; whenever a customer needed to start a meeting, they would log-in to the Account Manager and proceed from there to start a web meeting.

The Account Manager can be split into 6 major sub-systems. Those sub-systems perform the functions of scheduling meetings, managing meetings, managing the customer profile, uploading and saving content, managing recordings, and reporting the results of meetings. Scheduling meetings is the most widely used sub-system.

InstantPresenter meetings can come in a variety of flavors. Meetings can be very simple, such as a power-point presentation or they can provide all the functionality of a virtual classroom. Preparation for these meetings and subsequent reporting are mainly what the Account Manager, and its sub-systems focus on.

Scheduling meetings can be broken down into 3 simple steps. The first step is to provide who you want to invite to your meeting, when the meeting is, what you want the invitation e-mail to look like, and if there’s any conference calling number the attendees have to dial. The second step is an optional step and can be used to create a registration form or collect payments. Registration forms gather information about the people you invited before the meeting starts. The third step allows the customer to create a survey. Surveys are taken after the meeting and are a great way to quiz your attendees to see if they were paying attention. Surveys can also be used to gather feedback as to how the web meeting went.

Managing meetings can be done before and after a meeting occurs, as the Meeting Manager allows you to view upcoming or past meetings. The upcoming meeting section displays information regarding how many were invited, how many registered, and your link to your registration form (if you have one). The past meetings tab displays important reporting information. Both upcoming and past meetings provide a link to the meeting details page. The meeting details page contains details on everything you have set up for a particular meeting and offers many options to customize it.

The Profile page acts as a record keeper for customer information. It stores and allows the customer to update data such as contact information, billing information, their profile picture, and subscriptions purchased. It also displays pertinent instructions for utilizing conference calling services.

The last 3 sub-systems are smaller than the others. The uploading and converting file system has an extremely complex code-base. However, it’s one of the simplest systems to use; all the customer needs to do is select and upload content. Uploading and converting can occur before a meeting starts or during the actual meeting. After a meeting has been conducted, there are a number of reporting mechanisms that can be used. These reporting features can be accessed from the meeting manager, or from each individual meeting details page. If the meeting was recorded, the recording can be accessed from the meeting manager.

The Account Management System is a fully encompassing web meeting management platform. The Account Manager contains all the capabilities to allow an individual focused on conducting web meetings to prepare and perform well. It includes the necessary toolsets that are quickly becoming the de-facto standard for all meetings conducted over the web. As businesses grow and become increasingly more diversified, web meetings gain popularity because of their ease of use and cost-saving benefits. The aforementioned tools will continue to be utilized by business professionals all over the world, in an effort to make educating and connecting with one another easier, simpler, and more enjoyable.
